Transfer Policy

Credit for prior training

policiesStudents with prior training who want to transfer their enrollment credits must first meet all of the regular admission requirements. In addition, students must provide official transcripts from accredited schools showing coursework and hours. Transcripts from previous schools must be free of all financial obligations.

Credits from Oregon Schools

Students with credits from an accredited Oregon cosmetology school should arrange to have their official transcripts mailed or faxed directly to Tanya’s Beauty School. The staff will consider each transcript and determine the academic and clinical skill level of the applicant, and use this evaluation to determine the tuition and course requirements on an individual basis. Textbooks and other fees are applicable as indicated by the course requirements.

Course Changes and Withdrawal Policies

Students must determine the course they wish to take at the time of enrollment. There is a $25.00 administrative charge for changing programs or withdrawing from the school. Students who withdraw prior to graduation are charged an additional $35 transcript fee. Transcripts will generally be issued within 30 days of receiving the transcript fee.

Student Grievance Policies

Students aggrieved by the action(s) of the school and/or its representative(s) should first attempt to resolve their problems by consulting with appropriate school officials. This can be done via email or in private meetings. Keep in mind that all students are welcome to contact the director, Tanya Nguyen with problems and conflicts.

If the student is unsatisfied with the result of this process, he or she may contact: Oregon Higher Education Coordinating Commission, Private Career Schools, 775 Court St. NE, Salem, OR 97301. After consultation with appropriate Commission staff, and if the complaint alleges a violation of Oregon Revised Statutes 345.010 to 345.470 or standards of the Oregon Administrative Rules 581-045-0001 through 581-045-0210, the Commission will begin the complaint investigation process as defined in OAR 581-045-0023 Appeals and Complaints.

Student Counseling & Advice

There may be time when a student wishes to discuss a specific matter with a school staff. Students are encouraged to ask a staff person to arrange a time when the problem or issue can be discussed privately. Records of student advising sessions will be maintained on student’s file. Students’ attendance and academic progress is monitored monthly by school staff. Each monthly advising session will be documented with the date and signatures of the student and the staff member.

Satisfactory Academic Progress (SAP) Policies

Students must meet attendance and academic requirements to maintain Satisfactory Academic Progress (SAP) status. So long as a student’s cumulative grade average is 75% or above and attendance is at least 75% of the hours required, he or she will have SAP status. If sufficient requirements have not been met, or if a student earns a final exam grade below 75%, he or she may continue attending until all requirements are successfully met. However, the maximum amount of time to complete a course of study may not exceed 150% of the standard length of the course.

All students are held to the same satisfactory academic progress (SAP) standards, regardless of their method of payment.

The progress reports of all students are reviewed and evaluated on a regularly-scheduled basis. Each student will meet one-on-one with a school official to review his or her report and to discuss any areas of interest or concern. This process is invaluable in helping to keep students up-to-date, aware of potential issues and on-track to successfully completing their programs. At the conclusion of each evaluation session, the student and school official will sign the SAP report which will be filed with the student’s records. The student will also receive a copy, and additional copies may be requested and/or mailed to the student’s address.

In the event that a student does not maintain satisfactory progress, he or she will receive a warning notice. If a student fails to maintain SAP for two consecutive periods, he or she will be placed on probation. If a student fails to attain SAP for three consecutive periods, he or she may be terminated. Whenever a student receives an unsatisfactory report, he or she must meet to meet with the school director to discuss the possible cause(s) and solution(s) for the student’s situation.

Please note: Incomplete, repeat and remedial courses do not negatively impact a student’s SAP report. Tanya’s Beauty School offers refresher courses in all subjects offered.

Attendance and Punctuality Policies

Students should expect to comply with the basic standards expected of professionals. You will observe that Tanya’s Beauty School employees exercise these professional standards as a matter of course.

Students should always clock in upon arrival at school in order to keep their attendance records accurate.

Naturally, your daily appearance — hair, make-up and clothing — should reflect your professional commitment to excellence. You should plan to be in class at least five minutes prior to start time with all the materials you will need readily available.

Tardiness

Tardiness is defined as arriving 10 or more minutes late. The school allows a maximum of five unexcused late arrivals per month. If you expect to be tardy, you should promptly notify a school official. Telling a fellow-student that you will be late is not acceptable for an excused delay. More than five unexcused late arrivals in a given month will result in a verbal warning, and ongoing tardiness may be grounds for penalties or even dismissal.

Attendance and absence

To help you prepare you for success in the workplace, Tanya’s Beauty School requires that you attend scheduled classes and demonstrations a minimum of 75% of the time in order to remain enrolled. However, only 5% of your contract time for scheduled hours is allowed for absenteeism and/or tardiness. If you use more than the time allotted for absenteeism, you will need to purchase additional training hours in order to obtain necessary instruction. Additional instruction hours currently cost $15 per hour, and payment must be promptly arranged in order to remain enrolled in good standing. Being absent without official approval for more than 14 consecutive days may be grounds for being terminated from the program.

Absences and tardiness may be excused for the following reasons:

  • A written doctor’s note confirming medical issues
  • A court appearance, or jury duty, supported by documentation
  • A vacation pre-approved by school officials at least four weeks in advance

Please note:You may be able to arrange make-up hours for absenteeism or tardiness, but your previously-contracted graduation date may not synchronize with your revised hours.

Additional note: The contracted date of graduation may be delayed because of unexpected school closures in order to ensure that your academic and practical instruction is complete.

Leaves of Absence

An official Leave of Absence may be granted in cases of emergency, or when a student is faced with serious issues (such as medical problems) that interfere with attendance and participation. A student with a duly authorized Leave of Absence is not considered to have withdrawn from the school. A Leave of Absence will not affect the student’s maximum time frame for completion, but it may alter his or her scheduled graduation date.

A Leave of Absence should be a minimum of 14 days and a maximum of 90 days.

Students in the following programs may request one (1) Leave of Absence during their course of study: esthetics, barbering, nail technician, and cosmetic tattooing. Cosmetology students may request up to two (2) Leaves of Absence, with a wait period of at least 30 days between leaves.

A Leave of Absence must be authorized by the school in order for the student to remain enrolled in good standing. To obtain a Leave of Absence, the student must:

  • A. Complete the school’s Leave of Absence Request
  • B. Have the request approved by the school’s director

Please note: In order to be eligible for a Leave of Absence, the student must also have Satisfactory Academic Progress status (please see Section #14.)

There are no additional charges for a Leave of Absence. If a student fails to return or contact the school director by the contracted return date, he or she will be listed as withdrawn from school as of the last date of attendance. (Exceptions due to extenuating circumstances may be granted by the school director.)

Disciplinary Issues & Probation

Disciplinary actions for failure to maintain SAP

Disciplinary actions for non-attendance
Any student who is a “no call/no show” is in violation of the attendance policy. All unexcused absences of 14 days or more will result in cancellation of your contract. Penalties for other unexcused absences and for tardiness include the following, with repeated violations addressed with increasing severity.

  1. Verbal warning
  2. Written warning
  3. Corrective action plan with school director
  4. Three days suspension
  5. Termination

Disciplinary Actions for violation of the school’s Code of Conduct and Standards Requirements
Please see Section #30 for information about the Code of Conduct and Standards. Any student who violates the school’s Code of Conduct and Standards may be subjected to the following actions, depending upon the violation, the severity and other pertinent factors.

  1. Verbal warning
  2. Removal from class and two hours of in-house suspension
  3. Required corrective action contract, planned and approved by school director
  4. Written warning
  5. Three days suspension
  6. Termination

Probation Appeal Process

A terminated student who wishes to appeal for probation status must submit a request in writing, on the appropriate appeal form, with any supporting documents. This request must be submitted to the Registrar’s office within five days of termination in order for probation to be considered. If the student fails to appeal within this time frame, the decision to terminate will stand. A decision whether or not to grant the appeal will be made within five business days of receipt of the written appeal request. The decision on the student’s appeal will be made jointly by the school owner/director and a review committee which may include instructors. The student will receive written notification of the final decision. If the student is granted the appeal, he or she will be automatically re-entered in the course.
